How to calculate a timecard

For every day, subtract clock-in from clock-out and then subtract the unpaid break. An end time earlier than the start is treated as an overnight shift ending the next day. Daily minutes are added within each seven-day week.

Why the weeks are separated

Many overtime systems use a fixed workweek rather than averaging hours across a biweekly pay period. This calculator therefore applies the selected threshold to week 1 and week 2 separately. The default 40-hour threshold is only a calculation setting.

Payroll limitation: Overtime laws and policies vary by jurisdiction, role, agreement, daily thresholds, and workweek definition. This tool does not determine pay entitlement or wages.

How to calculate a timecard manually

  1. Convert each clock time to minutes after midnight.
  2. Add 1,440 minutes if the shift ends after midnight.
  3. Subtract the start and unpaid break.
  4. Add daily minutes for each week, then divide by 60 for decimal hours.

Frequently asked questions

Can I leave weekend rows blank?

Does 8:30 to 5 with a 30-minute lunch equal 8 hours?
